MAIN PURPOSE OF JOB:
To provide administrative support to the Sales and Bid teams. To act as the central point of contact within the mobilisation teams and aid the mobilisation managers in the administration of Contract Files.
When required support will also be provided to the: · Head of Bid Management · Marketing Manager · National Accounts Manager based at Portsmouth
KEY ACCOUNTABILITIES:
To provide support utilising graphic design software Quark and Powerpoint, including designing basic executive summaries To be able to manage the project authorisation sign off distribution process To co-ordinate the management of the Hardcopy Bid Archive To complete occasional work for HOBM, Marketing Manager including filing support managed through the Senior Sales Co-ordinator. To accurately reproduce pricing returns to be sent to clients To be one of a team of administrators for the Electronic Bid System To support the preparation of PAR documentation, Sales Documentation, Prequalification Documentation and Sales Presentations To be able manage the business card ordering process, including raising purchase requisitions, and receipting goods on Oracle To manage the administration of Expenses, invoices, team movements, mileage sheets, holiday and absence and sickness forms, and update the holiday chart, To create and maintain Mobilisation Contract Files on the company intranet· To regularly communicate the progress of all contracts under mobilisation, to the mobilisation team· Ensure that the hand over stages within the mobilisation process contain the sufficient information and are delivered to the correct people on time· To organise monthly mobilisation meetings.· To undertake other duties as may reasonably required.
NATURE OF WORK:
Deskbased, internally facing with occasional telephone contact with clients.

Bid Team, Marketing, Strategic Development Director, Mobilisation Managers, Operations Managers.
ESSENTIAL COMPETENCIES:
Excellent oral and written English Good Administrative and Organisational skills Good skills in application software such as Microsoft Office (in particular Word, Excel,PowerPoint, Project) Some design skills Good team working skills Excellent communication skills and telephone manner
DESIRABLE COMPETENCIES:
A working knowledge of Quark Database management experience.
